Email Server Settings
When you use an email app (like Outlook, Mac Mail, or your phone’s Mail app), it needs to know how to connect to your email service.
Email server settings are the technical details the app uses to send and receive your emails.
Setting Type | Purpose | Example |
Incoming Mail Server | Where your app fetches your incoming emails from | mail.yourdomain.com |
Outgoing Mail Server (SMTP) | Where your app sends your outgoing emails to | smtp.yourdomain.com |
Port Number | Specific ‘doors’ on the server for communication | IMAP: 993 / SMTP: 587 |
Encryption Type | Security method for the connection | SSL/TLS |
Authentication | Whether a username & password are required | Yes |
Differences Between IMAP and POP
When setting up incoming mail, you usually have two protocol options: IMAP and POP. Here’s a simple comparison:
Feature | IMAP (Recommended) | POP (Older) |
Where are emails stored? | On the server (cloud-based) | Downloaded to your device |
Access from multiple devices | Yes (keeps everything synced) | No (emails only exist on the device that downloaded them) |
Ideal for… | People using multiple devices (laptop, phone, tablet) | Single-device setups |
Example | Check your inbox on your phone and laptop — both see the same messages | Download to one computer; messages deleted from server |
Typical Port (SSL) | 993 | 995 |
