What is a Voice Portal?
Voice portals provide Interactive Voice Recognition menus, so administrators can provide useful auto attendant pathways, and users at the configured location can access voicemail and change passcodes.
When activated you receive an email with the voice portal telephone number. The voice portal extension is typically the last four digits of that number.
Prerequisites
You must be a Control Hub Administrator.
A phone number and extension must be configured for the location to access voicemail.
Step-by-Step Guide
Sign in to Control Hub.
Go to Management, then Locations, then select the location to update.
Click the Calling tab, scroll to Calling features settings, and click Voice Portal.
Enter a Name for the voice portal.
In Direct line caller ID, select a caller ID type: Display name or Other direct line caller ID name.
If Other direct line caller ID name is selected, enter a custom name (Unicode up to 128 characters).
In Dial by Name, enter the name you want to use to dial this voice portal (ASCII only).
In Language, select the audio announcement language for the location.
Under Incoming Call, choose a Phone Number and/or set an Extension from numbers configured for the location.
The location’s assigned voicemail number and extension appear by default.
If no voicemail number and extension are assigned for the location, voicemail access is not available.
Under Voice Portal Admin Passcode, set and confirm the administrator passcode for the location.
Only administrators can access this passcode.
The IVR offers two access methods when the voice portal number is dialled:
Enter passcode — Caller enters their voicemail PIN to access their mailbox when calling from their own assigned number or extension. Administrator passcode cannot be used for this option.
Press * to enter mailbox number and passcode — Administrators and users can enter a phone number/extension and voicemail PIN to access mailboxes from any number; administrators use the admin passcode to manage auto attendant greetings and mailbox settings.
Click Save to confirm your changes.
💡Notes:
The email you receive after activation contains the voice portal telephone number used to record auto attendant greetings.
Ensure the selected phone number and extension are reachable for callbacks and mailbox access.
