Managing Webex Users

Control Hub roles and responsibilities

When an organisation is first created in Webex, the partner administrator becomes the full administrator. This person can then assign additional roles to other users. By default, newly added users have no administrative privileges until roles are assigned.

Full Administrator:

• Can assign and manage all other roles

• Has complete access to all administrative functions

Access Cisco Support Case Manager to track support case statuses


Manually adding users in the Control Hub

💡Before You Begin:

  • Trial/Free accounts: Users who created a Webex trial/free account must delete their organization before being added.

  • Directory sync: If you're using Active Directory, manual addition is disabled. Use Directory Connector instead.

  1. Sign in to Control Hub.

  2. Go to Users then Add user.

  3. Choose how to add users:

    • Email address only

    • Names and Email address

  4. Create your list:

    • Up to 25 users if no required attributes are set

    • Only 1 user at a time if required attributes are enforced

    • Separate emails with commas or click + after each entry if adding names

  5. Assign licenses:

    • If using automatic license assignment, review the default services

    • To override, select Assign license manually

    • For Webex Attendant Console, set Webex Calling to Professional

    • You cannot assign both Webex Calling Standard and Customer Assist licenses

    • For Contact Center, Assign Webex Teams + Customer Care. Add Premium + Supervisor for supervisors

    • If Calling is included, assign location, phone number, and extension

  6. Assign tracking codes (if required by Meeting sites)

  7. Assign content management:

    • If global access is enabled, this step is skipped

    • Otherwise, choose a content management option per user

  8. Review your user list and license assignments

  9. Click Add Users:

    • Webex processes the list and shows a summary

    • If welcome emails are enabled, they’ll be sent automatically

    • Users appear as Pending until they sign in

  10. Finish:

    • Review the summary page and click Finish

    • If you encounter issues accessing Calling Settings, remove and reassign the Webex Calling license


Assigning Administrator Roles in Control Hub

Control Hub allows you to delegate administrative responsibilities by assigning roles such as:

  • Full administrator

  • Support administrator

  • User and device administrator

  • Device administrator

  • Read-only administrator

  • Compliance officer

Each role comes with specific privileges. For example, compliance officers can access user-generated content for legal purposes, while support administrators focus on analytics and troubleshooting.

How to Find Specific Administrators

  1. Sign in to Control Hub and go to Management, then Users.

  2. Click the Filter button and select the roles you want to search for.

    • This helps you quickly identify users with specific administrative privileges.

How to Assign Roles to Users

  1. Sign in to Control Hub.

  2. Go to Management, then Users, then select the user you want to assign a role to.

    • If you're a partner, first open the customer's organization, then access their Users page.

  3. In the Summary tab, locate Administrator roles.

    • Existing roles will be listed here.

  4. Click the arrow (>) to open the role assignment panel.

    • For Webex Site administrator roles, click Edit and select roles for each site.

    • Changing a user's Organizational role may affect their Services roles —review these before confirming.

    • The Location administrator role is exclusive. You cannot assign it alongside other admin roles. To assign, check Location admin and specify locations.

    • Users with User and device administrator or Device administrator roles cannot manage Webex Calling.

  5. Click Save to apply the changes.
